Volunteer Administrator & Receptionist (Forget Me Not Centre)

The Forget Me Not Centre will welcome families, adults, children and young people to provide bereavement support in a brand new, purpose-built environment.

We want to keep families together to support one another in their grief, and work together to understand each others’ experiences, as well as support each other.

To support this amazing new facility, we are looking for Volunteers to support the day to day running of the FMNC – if this sounds like something you’d like to be involved in, we’d really like to hear from you.


Role Title: Administrator & Receptionist (Forget Me Not Centre)

Responsible to:  Engagement Officer

Location: Forget Me Not Centre, St John’s Hospice

Purpose of Role: Provide an administrative service to the Forget Me Not Centre. Making children, young people and families welcome at the Centre.

Role Shift times and days: Various – Day time, weekends or early evenings

DBS Requirement: Enhanced with Barred (this is a free service for volunteers)


What will I be doing?

💚 Meet and greet visitors to the FMNC help with coats & provide refreshments for those waiting to be seen as appropriate.

💚 Ensure families & visitors sign in/out

💚 Notify Engagement Officer/therapist that C/YP/Family has arrived.

💚 Help families to feel safe & listened to by interacting positively & with interest.

💚 Ensure that family confidentiality is maintained.

💚 Report any concerns or observations to the Engagement Officer.

💚 Answer telephone queries and take messages in an efficient manner.

💚 Record all messages clearly & pass messages on to the appropriate person, ensuring the message is conveyed in a timely manner.

💚 Photocopy and scan documents as requested.

💚 Complete general administrative tasks as directed by the Engagement Officer.

💚 Assist the Engagement Office and Volunteer Facilitators to prepare for creative sessions and clearing way afterwards to maintain a safe and clean environment.

💚 Support the Engagement Officer to manage behaviour within the ethos of the FMNC.

💚 Report any safeguarding concerns to the Engagement Officer (DSL).

💚 Ensuring safe arrival/ handover of Children.

💚 Attend regular face to face 1:1 with the FMNC Officer.


What skills and qualities are required?

💚 Good customer service skills

💚 Familiar with Microsoft Office applications, including email

💚 Ability to carry out general administrative tasks

💚 Good listening and interpersonal skills

💚 Ability to interact with children

💚 Ability to work as part of a team and develop good working relationships with staff and volunteers alike.

💚 Ability to behave with discretion at all times and to maintain strict confidentiality

💚 Aware of boundaries regarding physical contact

💚 Aware of limitations of practice


What will be some of my responsibilities?

💚 Complete all essential training sessions appropriate to your role, as required including Safeguarding Adults and Children Level 2.

💚 Ensure all Health & Safety rules are adhered to

💚 Arrive for your role on time

💚 If you are unable to work a shift, record in the Rota file and inform the Engagement Officer

💚 Contribute to the overall ethos/work/aims of the Forget Me Not Centre ensuring a calm, unhurried atmosphere prevails within the FMNC to ensure relatives and other visitors feel welcome, relaxed and secure.

💚 Be aware of and support difference and ensure all children, young people & families have equal access to opportunities


What training will be provided?

💚 All volunteers must complete Volunteer Induction before starting their role

💚 Bi-annual Essential Training booklet to be completed by all St John’s Hospice volunteers

💚 On-going training as required
